Exhibitions Finance Officer 

VPS 3.2: $72,884 gross per annum + 9.5% superannuation

Full Time, Fixed Term for 3 Years

The National Gallery of Victoria (NGV) is seeking an Exhibitions Finance Officer who, under the guidance of the Exhibitions Manager, is required to assist with the detailed budgeting, financial monitoring and project management of exhibitions, collection displays and touring programs.


You will liaise with other departments to develop, implement and monitor detailed budgets for exhibitions, under the guidance of the Head of Exhibitions Management, Design and Multimedia and the Exhibitions Manager. Other key responsibilities include:

  • Liaising with, partnering and working with the Finance department to ensure accurate budgets are prepared and entered in the exhibition forecasting software.  Ensuring regular updates to forecasts and expenditure so that accurate cost reporting can occur.
  • Completing reconciliations of costs and budgets to ensure accurate analysis of exhibition expenditure occurs and the data is utilised to assist with forward budgeting.
  • Assisting with the coordination of project teams by developing and implementing project plans and ensuring timely and cost effective delivery of designated exhibitions and collection displays.
  • Liaising with and working with other NGV departments to ensure contractual obligations are met for designated exhibitions and collection displays.

To be successful you will have a tertiary qualification in Finance, Business or equivalent coupled with previous experience in the budgeting of significant and complex projects. You can prepare and monitor expenditure against detailed budgets, raising resource issues in a constructive and solution-focussed way and use honest, transparent and appropriate purchasing processes. You can deal with concepts and complexity comfortably, you have the ability to use numbers and numerical concepts to convey and obtain information, insights and ideas, using analytical and conceptual skills to reason through problems and analyse issues from different perspectives. 

You continually seek more efficient ways of operating, you can produce project plans where objectives are clearly defined and action steps for achieving them are clearly specified, regularly communicating with, and supporting project team members, ensuring project objectives are met by anticipating and managing potential and emerging issues. You can prepare briefs, letters, emails and reports using clear, concise and grammatically correct language, confidently conveying ideas and information in a clear and interesting way, understanding and meeting the needs of target audiences.
